This is the privacy notice of My Staff Shop Limited . We are company number 7710593 registered in England and Wales . Our registered office is at 2 Park Plaza, Battlefield Enterprise Park, Shrewsbury SY1 3AF.

This is a notice to tell you our policy about all information that we record about you. It covers both information that could identify you and information that could not. It should be read in conjunction with our terms and conditions.

Except as set out below, we do not share, or sell, or disclose to a third party, any personally identifiable information collected at this site.

1. The personal data we collect from you

My Staff Shop is a portal through which users access discounts from third party vendors.

In most cases purchases are conducted on the websites of third party sites (including microsites referred to below) which are subject to the terms and conditions including privacy policies of those third party vendors. However in a few instances My Staff Shop does function as a vendor. When you register an account with My Staff Shop and/or make purchases from My Staff Shop (including purchases made over the phone, or via this Website) we may collect the following personal data about you:

  • your name, age and sex;
  • your billing and delivery postal addresses, phone (including mobile phone), fax and e-mail details;
  • where you have registered with us, your user name and password;
  • where you place an order with us, your payment card details (phone only);
  • your communication and shopping preferences;
  • your browsing and shopping activities; and 
  • your date of birth.

We may also collect some or all of the above personal data about you when you access and browse this Website or any third party microsite (as described below). We may also collect some or all of this personal data from third parties who have your consent to pass your details to us.

2. How we may store and use your information

My Staff Shop (and third party data processors acting on our behalf) may collect, store and process your personal data:

  • to make this Website available to you and to provide you with content which is tailored to your individual tastes;
  • to maintain any registered account that you hold with us;
  • unless you opt out, to contact you (including by SMS, push and e-mail) about promotional offers and products and services which we think may interest you;

  • to provide our goods and services to you and for associate purposes, including verifying your identity;

  • for any related purposes, or where we have a legal right or duty to use or disclose your information (including for crime and fraud prevention and related purposes).

My Staff Shop has partnered with certain trusted third parties to make available additional third party products and services to you:

Each of these third party products and services can be accessed online through the relevant third party's "microsite". A microsite is a website that is owned and operated by a third party but which is My Staff Shop branded and can be accessed from links on the main My Staff Shop Website. You can check the URL to see if you are on a third party microsite.

Please note that, although My Staff Shop?s third party partners display My Staff Shop branding on their respective microsites, My Staff Shop does not own or operate any microsite and each microsite is governed by its own terms and conditions and privacy policy.  Personal data that you provide or which are collected about you through a microsite will be used by the relevant third party in accordance with that microsite's terms and conditions and privacy policy. 

n some cases, third party microsite operators may disclose your personal data to us so that we may use them in accordance with this Privacy Policy.

If you have any questions or concerns about the collection or use of your personal data collected through any microsite, you should contact the relevant third party microsite operator using the contact information specified in their privacy policy.

4. E-mail newsletter preferences and text alerts

All emails sent by My Staff Shop contain directions on how to unsubscribe from future correspondence.

We may also collect some or all of the above personal data about you when you access and browse this Website or any third party microsite (as described below), including when you sign up to receive My Staff Shop newsletters.  We may also collect some or all of this personal data from third parties who have your consent to pass your details to us.

5. Website usage information

We may use software embedded in our website (such as JavaScript) to collect information about which pages you view and how you reach them, what you do when you visit a page, the length of time you remain on the page, and how we perform in providing content to you.

6. Financial information relating only to your credit cards

This information is never taken by us either through our website or otherwise.  At the point of payment, you are transferred to a secure page on the website of our Third Party Partners, or some other reputable payment service provider. That page may be dressed in our "livery", but it is not controlled by us. Our staff and contractors never have access to it.

7. Financial information about your direct debit or your credit cards

When you have agreed to set up a direct debit arrangement, the information you have given to us is passed to our own bank for processing according to our instructions. We do keep a copy.

We are registered under the direct debit guarantee scheme.  (This provides for the customer's bank to refund disputed payments without question, pending further investigation. Direct debits can only be set up for payments to beneficiaries that are approved "originators" of direct debits. In order to be approved, these beneficiaries are subjected to careful vetting procedures. Once approved, they are required to give indemnity guarantees through their banks.)

8. Credit reference

To assist in combatting fraud, we share information with credit reference agencies so far as it relates to clients or customers who instruct their credit card issuer to cancel payment to us without having first provided an acceptable reason to us and given us the opportunity to refund their money.

9. Third party advertising

Third parties may advertise on our web site. In doing so, those parties, their agents or other companies working for them may use technology that automatically collects your IP address when they send an advertisement that appears on our site to your browser. They may also use other technology such as cookies or JavaScript to personalise the content of, and to measure the performance of their adverts. We do not have control over these technologies or the data that these parties obtain. Accordingly, this privacy notice does not cover the information practices of these third parties.

10. Cookies

10.2.       to allow essential parts of our web site to operate for you.

10.4.       to operate the online notification form - the form that you use to contact us for any reason. This cookie is set on your arrival at our web site and deleted when you close your browser.
10.5.       to enhance security on our contact form. It is set for use only through the contact form. This cookie is deleted when you close your browser.
10.6.       to collect information about how visitors use our site. We use the information to improve your experience of our site and enable us to increase sales. This cookie collects information in an anonymous form, including the number of visitors to the site, where visitors have come to the site from, and the pages they visited.
10.7.       to record that a user has viewed a webcast. It collects information in an anonymous form. This cookie expires when you close your browser.
10.8.       to record your activity during a web cast. For example, as to whether you have asked a question or provided an opinion by ticking a box. This information is retained so that we can serve your information to you when you return to the site. This cookie will record an anonymous ID for each user, but it will not use the information for any other purpose. This cookie will last for 12 months, when it will delete automatically.
10.9.       to store your personal information so that you do not have to provide it afresh when you visit the site next time. This cookie will last for 90 days.
10.10.  to enable you to watch videos we have placed on YouTube. YouTube will not store personally identifiable cookie information when you use YouTube's privacy-enhanced mode.

11. Calling our help line

When you call our help line, we collect Calling Line Identification (CLI) information. We use this information to help improve the efficiency and effectiveness of our help line

12. Sending a message to our support system

When you send a message, we collect the data you have given to us in that message in order to obtain confirmation that you are entitled to receive the information and to provide to you the information you need.  We record your request and our reply in order to increase the efficiency of our business / organisation.  We do not keep any personally identifiable information associated with your message, such as your name or email address.

13. Complaining

When we receive a complaint, we record all the information you have given to us.  We use that information to resolve your complaint.  If your complaint reasonably requires us to contact some other person, we may decide to give to that other person some of the information contained in your complaint. We do this as infrequently as possible, but it is a matter for our sole discretion as to whether we do give information, and, if we do, what that information is.

We may also compile statistics showing information obtained from this source to assess the level of service we provide, but not in a way that could identify you or any other person.

14. Marketing information

With your permission we pass your email address and name to selected associates whom we consider may provide services or products you would find useful. You may opt out of this service at any time by instructing us via this website.

15. Information we obtain from third parties

Although we do not disclose your personal information to any third party (except as set out in this notice), we do receive data which is indirectly made up from your personal information, from software services such as Google Analytics and others.  No such information is identifiable to you.

16. Your rights

You have the following right:

  • the right to ask what personal data that we hold about you at any time, subject to a fee specified by law (currently ?10);
  • the right to ask us to update and correct any out-of-date or incorrect personal data that we hold about you free of charge; and
  • the right to opt out of any marketing communications that we may send you.

However, if you wish to unsubscribe from e-mail marketing communications that we send you, you can most easily do this by clicking on the unsubscribe link at the bottom of any e-mail newsletter we have sent to you.

17. Sale of your personal information

Except as specified above, we do not rent, sell or otherwise disclose any of your information to any person outside our business.

18. Data may be "processed" outside the UK

Our web sites are hosted in England. We also use outsourced services in countries outside the EU from time to time in other aspects of our business.  Accordingly data obtained within the UK may be "processed" outside the UK and data obtained in any other country may be processed within or outside that country.
